Executive Assistant
We are seeking an energetic, proactive, and structured Executive Assistant to support our C-Level team. You will manage administrative and business-related tasks that will contribute to the efficiency of our business. This position requires a highly organized individual with excellent communication, time management, and problem-solving skills.
Location: Remote Friendly in PST or EST.
As an Executive Assistant a typical day might include the following:

Calendar Management:
- Detailed: Coordinate and ensure the CEOs’ calendar is optimized for efficiency and effectiveness.
- Prioritization: Prioritize meetings and appointments based on the CEOs’ strategic goals and priorities.
- Conflict Resolution: Resolve scheduling conflicts proactively and efficiently.

Travel Arrangements:
- Efficiency: Use travel management tools to streamline the booking process and minimize costs.
- Customization: Tailor travel arrangements to the CEOs’ preferences and requirements.

Correspondence:
- Response Time: Respond to emails and phone calls promptly and professionally.
- Follow-up: Follow up on action items and ensure timely resolution.
- Confidentiality: Handle all correspondence with the utmost discretion and confidentiality.

Project Coordination:
- Task Management: Use project management tools to track progress and deadlines.
- Document Management: Keep documents, processes, and procedures up-to-date.
- Risk Mitigation: Identify and address potential risks and challenges.
- Presentation: Prepare clear and concise presentations summarizing research findings.
- Operational Support: Assist operational activities as needed.

Administrative Tasks:
- Efficiency: Streamline administrative processes to maximize efficiency.
- Organization: Maintain organized filing systems and records.
- Technology: Utilize technology to automate tasks and improve productivity.
- Internal Communication: Communicate effectively with all levels of our company.
- Minute Taking: Take minutes during meetings.
- External Partner Coordination: Act as the point of contact among founders, employees, clients, and other external partners.
This job might be the right one for you if you have:
- Education: Bachelor's degree or equivalent experience.
- Experience: Minimum 2 years of experience as an Executive Assistant or in a similar administrative role.
- Consulting Experience: Experience as a consultant is preferred.

- Strong organizational and time management skills.
- Excellent verbal and written communication skills in English and Spanish.
- Proficiency in Microsoft Office and G-Suite (Word, Excel, PowerPoint, Outlook).
- Ability to work independently and as part of a team.
- Detail-oriented and able to handle multiple tasks simultaneously.
- Discretion and confidentiality.
- Technology Proficiency: Advanced proficiency in Notion, AITools, and travel management tools.
- Problem-Solving: Ability to identify and solve problems creatively and effectively.
- Adaptability: Flexibility to adapt to changing priorities and work environments.
- Attention to Detail: Meticulous attention to detail and accuracy in all tasks.
- Information Synthesis: Ability to synthesize information and create reports.
